How we work
Talk, map, build, run.
No discovery-phase theatre and no open-ended invoices. The first conversation is free, the workflow is mapped before anything is built, the price is fixed before we start, and the system arrives in stages you can actually use.

Talk
Free, and genuinely exploratoryA normal conversation about how the business runs — where work stalls, what gets chased, what nobody can see. No slides, no pressure, and nothing to prepare.
- The first conversation is free
- No paid review before we talk
- A straight answer on whether a custom system makes sense
- If it doesn't — if a spreadsheet or an off-the-shelf tool is the right answer — we'll say so
You get: A straight answer on fit
- 02
Map
The workflow, drawnWe sit with the people who actually run the work and map the real workflow — every handover, approval, document and follow-up, including the steps that only exist in someone's head. Bottlenecks stop being a feeling and become flags on the map.
- Mapped with your team, on your real work
- Bottlenecks flagged and agreed before any build
- The map becomes the spec for the system
- It's yours to keep, whatever you decide to do next
You get: The workflow map — yours to keep
- 03
Build
Fixed price, staged deliveryThe price is agreed before the build starts — fixed wherever the scope allows, and discussed openly where it genuinely can't be. The system is delivered in stages, so your team is using the first parts while the later parts are still being built.
- Fixed price agreed up front, wherever scope allows
- Built around the map, not adapted from a template
- Delivered in stages you can start using early
- Your data and your workflow stay yours
You get: A working system, in stages
- 04
Run
Launch is the start, not the handoverBusinesses change — the system has to keep up. After launch we support it, improve it and grow it alongside the operation, with the person who built it.
- Support after launch, from the person who built it
- Improvements scoped as the operation evolves
- Small changes stay small
- No surprise invoices
You get: A system that keeps up
What it costs
Priced from the map, agreed before the build.
Every build is different — the price depends on the workflows, integrations and support involved. What never changes is the shape of the deal:
Free
The first conversation costs nothing, and there is no paid review before it.
Fixed
The build price is agreed before we start — scoped from the map, not discovered along the way.
Staged
Delivery comes in usable stages, so value lands before the final invoice does.
FlowPilot products — like FlowPilot Civil — are priced separately, around business size and rollout. Ask during the conversation.
The honest part
Sometimes the answer is: don't build it.
If the spreadsheet is genuinely working, if an off-the-shelf tool fits your workflow, or if the workflow itself is still changing too fast to pin down — a custom system is the wrong answer, and we'll tell you that in the first conversation.
A custom system has to earn its keep. That's the standard we hold every build to — including yours.
