About FlowPilot

We learn how the business runs before we build anything.

FlowPilot exists because real businesses outgrow spreadsheets, inboxes and disconnected tools — usually long before anyone calls it a problem. We map the workflow first, then build the system around it.

Who you deal with

Matthew Guglielmino

Founder, FlowPilot Systems

Matt's background is running messy operational workflows under commercial pressure — years in civil construction project management, inside live projects: cost moving daily, scope changing weekly, and the real picture living in spreadsheets at nine o'clock at night.

That experience is the reason FlowPilot maps first. The gap was never effort — everyone was working hard. The tools just never matched how the work actually ran.

The same pattern shows up well beyond construction — in developers, consultancies, trades and service businesses. Wherever a genuinely custom workflow is being run on generic tools, the same things break, and the same approach fixes them.

When you work with FlowPilot, you deal with the person who maps the workflow and builds the system — not a sales team, and not an account manager passing notes to one.

Why FlowPilot exists

The problem is always the same shape.

Businesses outgrow their tools quietly

Spreadsheets and disconnected apps accumulate without anyone designing the workflow. One day the business is running on version 7 of a spreadsheet and nobody can see the whole picture.

Generic software misses the workflow

Off-the-shelf tools are built for an average business. The detail that matters — how your approvals, handovers and follow-ups actually move — is exactly what they miss.

The fix starts with the map, not the software

A system only works when it follows the real workflow. That's why FlowPilot maps how the work actually runs before designing anything around it.

What FlowPilot does

Custom systems first. Products where we've gone deepest.

The core of FlowPilot is mapping a business's real workflow and building the operational system around it. Where we've gone deep enough on one industry — civil contracting first — the system has grown into a product.
